The Mississippi State University Mail Services Facility and Mississippi State Printing Services is located on the corner of HWY 182 and Old West Point Rd. MSU Mail Services provides a full array of postal services to meet all the needs of your department. Mail Services is open between 8:00 am and 5:00 pm Monday through Friday. Mail Services provides campus mail pick-up and deliver service to all University departments. Mail Services has three Mail Management Systems, which are networked through three PC’s to keep records of the mail which is being processed.

Campus Mail

Mail Services provides free pick-up and delivery of campus mail to all University Departments. Mail Services has approximately 200 mail stops that we deliver and pick-up from twice daily. This includes pick-up and delivery of USPS mail to and from the Post Office for departments who in the past wished to use this service, as well as free pick-up of UPS parcels. We currently have 7 delivery routes manned by 1 Route Operations Foreman, 5 full time employees and 3 students.  Once the mail is brought back into the mail room it is sorted according to mail stop and distributed accordingly or it is given to the mail processors to affix postage. Inserting Machine

2 inserting machine are available in Mail Services. Each machine has capability of inserting up to 5 documents.

Folding Machine

Mail Services has a folding machine that works inline with our inserting machine. If additional folding is needed Printing Services has 3 large automatic folders.  

Tabbing Machine

A tabbing machine is located in Mail Services. US Postal regulations require self mailers and other automated mailings to be tabbed with either one or two tabs in order to speed the process of mailing.  Please contact mail services to schedule a tabbing job.

Direct Impression Printing

Direct Impression Printing is done using a printer connected to a computer with the capacity to print 26,000 on hour. This information is sent to the printer using an address file that has been saved to a 3.5 inch disk or a file that has been emailed to mail services. Once the file is verified for correct format it is imported into a software program that will verify the zip plus four address or add the zip plus four and sort the addresses according to postal regulations. Mailings sent in this manner are generally considered automated mailings. If possible use this method instead of labels.

Helpful Hints For Saving $$$

Consolidate materials into one envelope.
It's cheaper to pay 24 cents per extra ounce than to send out an additional envelope at 39 cents.

Redesign non-letter mailing pieces to conform to letter-size.
Letters are much less expensive at the basic rate than flats.

Eliminate the use of return receipts.
Most return receipts are utilized out of habit rather than real need, and they are often not returned to the correct originator.

Use Priority Mail instead of overnight when possible.
A flat rate envelope costs only $4.05 to anywhere in the continental U.S. and the supplies are free.

Use postcards whenever possible.
Save 15 cents per piece.
