WHAT WE DO

The publications office strives for quality service, design and production. We produce more than 300 publications per year, including brochures, posters, newsletters, flyers, letterhead and business cards, advertisements, and much, much more. Our regular publications include Alumnus, MSU Memo, and the MSU Wall Calendar.

We want to ensure that your publication is accurate, well-written, and well-designed. We can provide all the services required to produce a publication in one stop. And our services are free, except for a minimal charge to help us buy supplies. Of course, you will be required to pay printing costs and shipping, which are separate.

Most student recruitment, fund-raising, and major image publications of the university are written, edited, and designed by the University Relations publications group. The publications group also offers its services to other university schools, departments, and offices as time and scheduling permit.

Our staff, with nearly 70 years of experience, is available to help assess publication and promotional needs, to contact outside printers to obtain estimates and prices, and to write bid specifications for jobs that require them. We can help you design specialty items and find licensed vendors to produce them. We also can help in scheduling your publications to ensure prompt production. A production schedule for each publication can be made, including copy, design, and printing deadlines.

HOW TO START

WHAT WE NEED

Submit text on paper for reference and on a DVD, CD, disk, jump drive, or as an e-mail attachment. We can accommodate manuscripts prepared using most word processing applications in both IBM compatible and Macintosh formats. It is best to avoid using italic, boldface, centering, or underlining in this document. In fact, there is no need to format your text at all. Our editors and designers will format it while preparing it for publication. If you need help with writing, let us know. We will be glad to assist you.

Also let us know your budget. Our designers are adept at working within the constraints of a budget.

PAPERWORK AND PROOFS

Department BANNER numbers should be used when placing printing orders at Printing Services. Billing is sent directly to your office, college, or school. Printing also may be done off campus through the use of a purchase order. Normally, your publication will be printed by the printer that submits the lowest bid, based on specifications provided. We can help prepare bid specifications to ensure the best possible price from vendors in- and out-of-state.

You will be able to correct errors or make changes in your publication before it is sent to the printer. The printer will provide a photographic proof (known as a blueproof) which includes the type, photographs, and artwork. However, changes at this stage can be costly and can result in your publication being delayed.

HOW MUCH WILL IT COST

There is no charge for editorial or design services. There is a $10 fee per typeset page and UPS charges are assessed for those jobs sent to off-campus printers to pay for sending the jobs as well as receiving and sending various proofing stages. The Publications Office will send an invoice for both sets of charges upon completion of the job, and all monetary transactions are done through interdepartmenal BANNER transfers. Printing charges are separate and will vary based on job complexity and printer used.

HOW LONG WILL IT TAKE?

Each publication is tailor-made to serve your specific area of the campus community. Therefore, allow ample time for the many production steps in order to minimize chances of error and ensure quality printing and design. The following timetables are rough estimates of production time for publication. These times may vary depending on the number of publications in production at a given time.

1- and 2-color flyers 2-3 weeks

UNIVERSITY SYMBOLS

Our office also can help you in matters involving the university symbols. We can provide electronic versions of these symbols and can advise on the correct usages of symbols in print form. The Visual Identity Manual containing this information also is available on the web. Particular questions about symbol usage can be directed to publications manager Harriet Laird at 325-3442.

WHY DO I NEED HELP DESIGNING?

Graphic design is crucial to the success of your publication. It can attract attention and help focus readers on the publication’s message. Your message is competing with countless other written communications for the reader’s attention. No matter how important your message, it may not be received if your publication is not packaged effectively. The publications group takes pride in professionally designed publications, which not only have won awards in national competitions, but also the praise of campus clients and their constituents.

WHY DO I NEED HELP EDITING?

Editors not only perform copy editing, they also review a publication for structure and organization. Good editing organizes the written material for unity, coherence, and emphasis. Our writers have vast experience in explaining what is important about Mississippi State University. They know what areas must be emphasized in a particular publication and have the most up-to-date facts and figures at their fingertips.
